What estdoc does
Electronic signature software that keeps the evidence
Send for signature
Upload a PDF, drop signature and date fields exactly where they belong, and send a secure link. Signers need no account.
Keep it organised
Every signed document, its certificate and its original are filed under the client, searchable and never overwritten.
Prove what happened
A hash-chained audit trail records every view, verification and signature — with timestamps, IP addresses and document hashes.
Work as a team
Give your staff their own logins. They do the work; everything still consolidates under your account, with full visibility.
How it works
How estdoc signing works
- 01
Upload the document
Any PDF — an engagement letter, a BIR form, a contract. The original is stored untouched and hashed the moment it arrives.
- 02
Place the fields
Pick a signer, pick a field, click where it goes. Signature, initials, printed name, date, checkboxes. Each signer gets their own colour.
- 03
Send and verify
Signers get a secure link, confirm their email with a one-time code, review the document and sign by drawing or typing.
- 04
Get the evidence
estdoc builds the completed PDF and a certificate of completion listing every signer, how they verified, when, and from where.
Document management
Document management for client and business files
Signing is where a document starts, not where it ends. On estdoc Manage every file is filed under the client it belongs to, so the engagement letter, the signed copy, the certificate of completion and the audit trail sit together instead of being spread across a mailbox, a shared drive and somebody’s desktop.
- Filed by client. Documents belong to a client record, so finding everything for one company is one click rather than a search through folders.
- Originals and signed copies, both kept. Uploading a new version never replaces the old one. Every version stays, with its own hash.
- Searchable. By name, by client and by document type — contracts, engagement letters, forms and the rest.
- Roles decide who sees what. Staff work under their own logins, and a viewer can read without being able to upload or send.
Security
Security, verification and audit trails
Anyone can put a picture of a signature on a PDF. What makes it hold up is being able to show who signed, how they proved they were themselves, and that the document has not changed since. estdoc records all three, by default, on every signature.
- Email verification before signing. A one-time code, with expiry, attempt limits and resend limits. Codes are never stored in a readable form.
- The original is never overwritten. Uploads are hashed on arrival. The signed version is a separate file with its own hash, and both are kept.
- A tamper-evident audit trail. Every event is chained to the one before it, so altering history breaks the chain and shows.
- Certificate of completion. Every signer, their verification method, timestamp and IP address, plus both document hashes — generated automatically.
- Separation between accounts. Enforced in the database itself, not only in the application, and covered by tests that try to break it.
For teams
Built for Philippine businesses and professional teams
Give each person on your team their own login. They upload documents, prepare fields and send requests under their own name — and every file, every request and every audit event still consolidates under your account.
You decide what each person can do, you can see who did what, and suspending someone stops their access immediately without erasing a thing they touched.

Questions
Frequently asked questions
- What is estdoc?
- Electronic signature and document management software for Philippine businesses. You upload a PDF, place the signature and date fields, and send it for signature. estdoc keeps the original file, the completed signed PDF, a certificate of completion and an audit trail of everything that happened along the way.
- Do signers need an estdoc account?
- No. A signer opens the link you send them, confirms their email address with a one-time code, reviews the document and signs. They never create an account or a password, and the completed document is emailed to them as a PDF attachment.
- What documents can I send for signature?
- PDFs — engagement letters, contracts, BIR forms, waivers, anything already in that format. estdoc checks that an upload really is a PDF before accepting it. For files that are not PDFs yet, the built-in tools merge, split, rotate and reduce PDFs once you have converted them.
- What does the audit trail record?
- Every view, email verification, signature and completion, each with a timestamp, the IP address it came from and the hash of the document involved. Events are chained to one another cryptographically, so altering an earlier entry breaks the chain and becomes visible rather than passing unnoticed.
- Are the original and signed documents both kept?
- Yes. The file you upload is hashed on arrival and never overwritten. The signed version is a separate file with its own hash, and both stay available, along with the certificate of completion listing every signer and how they verified.
- How much does estdoc cost?
- estdoc Free is ₱0 and covers three signature requests a month for one user. estdoc Sign is ₱199 a month and estdoc Manage ₱349 a month, both with a seven-day free trial and no card required to start. Annual billing works out at two months free. Compare the plans in full.
- Is estdoc suitable for accounting firms and bookkeepers?
- It was built inside one. Documents are filed by client, staff get their own logins with roles that decide what they can do, and every action stays attributable — which is what a practice handling other people’s paperwork needs from a filing system.
