Electronic signature
Electronic signature software for Philippine businesses
estdoc sends contracts, engagement letters, forms and any other PDF for electronic signature, and keeps the evidence of what happened. The person signing verifies their email address with a one-time code, signs in their browser, and receives the completed document as an attachment. They never create an account.
The workflow
How sending a document for signature works
- 01
Upload the PDF
estdoc checks the file really is a PDF, hashes it on arrival and stores that original untouched. Nothing you do later overwrites it.
- 02
Place the fields
Signature, initials, printed name, date and checkbox fields, positioned by clicking where they belong. Each signer gets their own colour, and you choose whether they sign in order or all at once.
- 03
The signer verifies and signs
They open a secure link, receive a one-time code by email, confirm it, read the document and sign by drawing, typing or uploading a signature image. No account, no password.
- 04
Everyone gets the evidence
estdoc builds the completed PDF with a timestamp beside every signature, generates a certificate of completion, and emails both to each signer as attachments.
Verification
Who signed, and how they proved it
A picture of a signature on a PDF proves very little on its own. What makes a signature worth having is being able to show who applied it, how they demonstrated the email address was theirs, when it happened, and that the document has not changed since. estdoc records all four on every signature, without being asked.
- Email verification before signing. A one-time code with an expiry, a limit on attempts and a limit on resends. Codes are stored only as a hash, so a copy of the database does not reveal them.
- Timestamps on the document itself. The completed PDF carries the date and time beside each signature, not only in a separate log.
- Both files, both hashes. The original and the signed version are separate files, each with its own SHA-256, so either can be checked later against the value recorded at the time.
- A tamper-evident audit trail. Every view, code request, verification and signature is chained cryptographically to the event before it. Altering history breaks the chain rather than hiding.
- A certificate of completion. Every signer, their email, how they verified, the time, the IP address it came from, and both document hashes — built automatically when the last person signs.
For teams
Sending as a firm rather than a person
Staff get their own logins and send under their own names, while every document, request and audit event still consolidates under the firm’s account. Roles decide what each person can do, and suspending someone ends their access immediately without erasing anything they touched.
Signed documents do not stop being useful once they are signed. See how estdoc files documents by client so the signed copy, the original and the certificate stay together afterwards.
