Document management
Document management for Philippine businesses
A signed contract is not finished business — it is a record somebody will need again. estdoc Manage files every document under the client it belongs to, keeps the original alongside the signed copy and its certificate of completion, and makes the whole library searchable, so finding last year’s engagement letter does not mean searching a mailbox.
Organisation
Filed by client, not by folder
Every document belongs to a client record, so one company’s paperwork is one click away instead of scattered across shared drives named after whoever created them. Documents also carry a type — contract, engagement letter, form and the rest — and a reference number of their own.
Search runs across the document name, its reference, the client and the person who added it, and the list filters by type and by status.
- A client list you actually maintain. Add the businesses and people you work with, then file documents against them as you go.
- Search and filter together. Narrow by type or status, then search within what is left.
- Reference numbers. Every document gets one, and it appears on the certificate of completion and in the audit trail.
- Archive without deleting. Documents can be archived and restored; what leaves the list does not leave the record.
Versions and evidence
The original and the signed copy, both kept
Uploading never overwrites. The file that arrived first is hashed and stored as its own version, and the completed signed PDF is another — each with its own SHA-256, so either can be checked later against the value recorded when it was created.
That matters most when someone asks a question about a document months later. The answer is not a memory of what happened; it is the certificate of completion and the audit trail sitting beside the file. See how the signing and verification work.
- Every version stays. Nothing replaces anything. The history of a document is the document.
- Certificates filed with the document. Signers, verification methods, timestamps, IP addresses and both hashes, kept where the file is.
- An organisation-wide audit trail. Uploads, views, downloads, changes, signatures and deletions — chained so that altering an entry shows.
Access
Who can see what
Staff get their own logins rather than sharing one. Roles decide what each person can do, and suspending an account ends access immediately while leaving every record of their work intact. Separation between organisations is enforced in the database itself, not only in the application — and there are tests whose whole job is trying to break it.
